Terms and Conditions of the “Space24 Day” Conference

 

§1

General Provisions

  1. These Terms and Conditions constitute the basis for the organization of the “Space24 DAY” Conference organized by Defence24 Sp. z o.o., to be held on 11 June 2026, and define the rights and obligations of its participants. These Terms and Conditions are hereby made available to all Conference participants.
  2. The organizer of the “Space24 DAY” Conference is Defence24 Sp. z o.o., with its registered office in Warsaw (00-372), ul. Foksal 18, entered into the National Court Register under KRS No. 0000427851, Tax Identification Number (NIP): 1132857583.
  3. The Conference consists of expert panel discussions open and closed to the public, demonstrations, presentations, and an exhibition.
  4. The purpose of the Conference is to discuss key issues related to security, exchange experiences, and develop recommendations regarding the topics addressed.

 

§2

Participation Conditions

  1. The number of Conference participants is limited.
  2. Participation in the Conference requires the Participant to submit an application within the deadline specified by the Organizer.
  3. The Participant is required to complete on-site registration in order to confirm attendance on the opening day of the Conference. Presentation of the invitation confirmation for participation in the Conference is required.
  4. The Organizer reserves the right to refuse registration and reject a participant’s application without providing any reason. Information regarding acceptance or rejection of the application will be sent to the e-mail address provided in the registration form.
  5. Registration is conditional upon granting the consents included in the registration form.
  6. The method of registration, application deadlines, and registration hours on the day of the Conference shall be communicated by the Organizer via e-mail or traditional correspondence.
  7. Submission of a participation application constitutes acceptance of these Terms and Conditions.
  8. Participants shall cover the costs of travel, accommodation, and meals at their own expense.
  9. Participation of industry and business representatives in the Conference is based on sponsorship arrangements.

 

§3

Organizer’s Liability

  1. The Organizer shall make every effort to ensure organizational conditions for the Conference consistent with the event description.
  2. The Organizer determines the Conference agenda and reserves the right to make changes, even on the day of the Conference, including changes to the schedule and order of presentations.
  3. Changes to the Conference program referred to above shall not constitute grounds for any financial claims against the Organizer.
  4. The Organizer reserves the right to cancel the Conference in the event of unforeseen circumstances or force majeure events.
  5. The Organizer shall not be liable for any items belonging to Participants that may be lost, damaged, or stolen during the Conference.

 

§4

Participant’s Liability

  1. Participants undertake to comply with the provisions of these Terms and Conditions, as well as with safety regulations and the organizational and technical instructions and orders issued by representatives of the Organizer and the venue where the Conference is held.
  2. In particular, the following are prohibited on the premises: the sale, serving, and consumption of alcoholic beverages; the sale and use of narcotics (including intoxicating substances, psychotropic substances, and other substances referred to in the Act of 29 July 2005 on Counteracting Drug Addiction, consolidated text: Journal of Laws of 2012, item 124, as amended); bringing onto the premises, among others: hazardous materials, materials harmful to health, nuisance materials or materials with unpleasant odors, firearms and bladed weapons, and explosive materials.
  3. Participants shall bear full financial liability for any damage caused by them on the premises where the Conference is held.
  4. By entering the Conference venue, Participants accept the provisions of the Crown Plaza Warsaw regulations and the Fire Safety Instructions, and undertake to comply with them. The venue regulations are available at https://cpwarsawthehub.com/ and at the Main Reception Desk of Crowne Plaza Warsaw. The Fire Safety Instructions are available for inspection at the Main Reception Desk of Crowne Plaza Warsaw.

 

§5

Personal Data Protection

  1. The controller of personal data is Defence24 Sp. z o.o., with its registered office in Warsaw (00-372), ul. Foksal 18, KRS No. 0000427851, NIP: 1132857583.
  2. Participants’ personal data are processed for the purposes of Conference participant registration, including the creation of a participant list, and for marketing purposes; for providing participants with important information regarding planned events and facilitating participation in online activities organized as part of the Conference; for communication activities such as sending e-mails and invitations (including management of contact lists for correspondence); and for statistical and analytical purposes.
  3. By registering, the Participant consents to the processing of their personal data for the purposes of organizing the Conference, including the creation of a participant list.
  4. Participants have the right to access their personal data, correct them, and request their deletion. Providing personal data is voluntary but necessary for participation in the Conference.
  5. The Organizer reserves the right to use an external service provider to conduct the registration process.
  6. With the Participant’s consent, the collected data may be stored in one or more databases maintained directly or indirectly by the personal data controller.
  7. During the Conference, the Organizer may conduct photo and video recording sessions. Participation in the event constitutes consent to the use of the image of each Participant, Speaker, and Moderator in informational and promotional materials. Any person who does not consent to such use is obliged to notify the Organizer at contact@defence24.pl no later than 2 days before the date of the Conference.
  8. The Organizer reserves the right to use and publish, free of charge, the Participant’s company name, affiliation, biography, and country of origin on the participant list, website, and social media channels, to which the Participant grants irrevocable and unlimited consent in time.
  9. The Organizer also reserves the right to use and publish, free of charge, the Participant’s image for informational and promotional purposes related to “Space24 Day,” to which the Participant grants irrevocable and unlimited consent in time.
  10. Upon registration at the Space24 Day reception desk, the Participant shall receive a personalized badge containing their first and last name and the company name provided during registration.

 

§6

Final Provisions

  1. The Organizer reserves the right to amend these Terms and Conditions.
  2. In matters not regulated herein, the relevant provisions of the Polish Civil Code shall apply.
  3. These Terms and Conditions shall enter into force on 7 January 2026.
